Executive Assistant to the CEO
Ada Developers Academy is a non-profit, tuition-free coding school for women and gender expansive adults. We focus on serving Black, Latine, Indigenous, and Pacific Islander communities, low income people, and members of the LGBTQIA+ community. Our program consists of two highly immersive parts: six months of focused instruction, and five months of internship at partner companies, where students refine their skills working on real-world code.
About this position
The Executive Assistant (EA) to the Chief Executive Officer (CEO) will provide critical support through a high-growth period at Ada. A great candidate will be organized, thoughtful, fast-paced, thorough, and a great communicator. This person will report to the Chief of Staff, and work closely with our Executive Assistant/Program Assistant team members to ensure we are working effectively and efficiently as a team.This is a full-time (40 hours per week) position with an annual salary range of $75,600 - $88,500 (DOE) and excellent benefits.
For eligible positions, hybrid and remote work schedules are made available to workers working within certain jurisdictions (currently limited to the states of Washington, Virginia, Georgia, Oregon, and Texas).
Core responsibilities
Proactively manage CEO's calendar and meeting schedule prioritizing appropriately, and ensuring CEO is prepared with travel, attendee, background information
Prepare materials for internal and external meetings using the Google Suite
Organize and structure CEO's email inbox to remove clutter and help prioritize communications - taking over communications on behalf of the CEO where appropriate
Submit expense reimbursements on a regular basis to ensure accurate and timely reporting
Book domestic travel, manage itineraries, and schedule meetings
Gather insights & proactively prepare the CEO for meetings
Provide task management for the CEO (including, but not limited to meeting prep, follow-ups, and email requests)
Complete special projects as needed or requested (including, but not limited to research, data gathering, staff appreciation
Support colleagues on the Ada team as needed
Essential qualifications
3+ years of experience supporting senior level tech executives preferred
Expert Google Suite user, specifically Google Calendar & Gmail
Strong organizational skills and attention to detail
Exceptional and empathetic written and verbal communications skills; ability to thoughtfully craft communications to reflect the audience and Ada's values
Demonstrable integrity and ability to maintain confidentiality
Demonstrated ability to adapt to change and operate in a growth stage company
Demonstrated embodiment of Ada’s values in a professional environment
