Admissions Program Assistant

Remote - Seattle, WA

Ada Developers Academy is a non-profit, tuition-free coding school for women and gender expansive adults. We focus on serving Black, Latine, Indigenous, and Pacific Islander communities, low income people, and members of the LGBTQIA+ community. Our program consists of two highly immersive parts: six months of focused instruction, and five months of internship at partner companies, where students refine their skills working on real-world code.

About this position

We are looking for a Program Assistant to provide programmatic support related to maintaining the admissions process. As a member of our education team, you will also be responsible for providing support regarding our Admissions, Outreach, and Ada Build Live program. This is a full-time position (40 hours per week) with an hourly range of $21 - $24 (DOE) and excellent benefits.

Core responsibilities

Support and maintain admissions-related program operations, ensuring a positive and smooth experience for all stakeholders, including applicants, volunteers, and staff involved in the following:

Admissions (~50%)

  • Participate in application reviews and final in-person interviews

  • Help maintain the admissions schedule and assist with scheduling technical and final interviews as needed

  • Assist with student enrollment and acceptance offers and work with the Student Services team to hand off accepted class for onboarding

  • Respond to inquiries and questions via email in the admissions inbox

  • Assist with compiling reports summarizing applicant trends following each admissions cycle

Outreach (~30%)

  • Help with logistical planning regarding in-person and virtual events 

  • Assist with volunteer management regarding upcoming outreach initiatives

  • Scheduling volunteers and speakers as needed

Ada Build  (~20%)

  • Maintain registration forms for interested participants

  • Take attendance of each session and send appropriate evaluation surveys

  • Compile summary reports and feedback from evaluation surveys

  • Work with the Program Manager, Pilot Projects to manage volunteers and their experience providing support for the program

Essential qualifications

  • Minimum of 2 years administrative and/or program administration experience in a fast-paced environment, with a proven ability to learn quickly

  • Exceptional and empathetic written and verbal communications skills. Ability to thoughtfully craft communications to reflect the audience

  • Excellent organizational ability and attention to detail. Ability to proactively prioritize across multiple streams of work and to execute effectively

  • A strong bias for taking action. Enjoys identifying opportunities, taking initiative, and rolling up your sleeves to do what needs to be done. Loves bringing process and structure to your work, while supporting the work of other staff as well

  • Demonstrated experience managing and organizing data and information for multiple audiences and purposes. Experience using Salesforce is a plus

  • Demonstrated embodiment of Ada’s values in a professional environment
